About the project

Inspired by the daily challenges of tracking physical documents in the office, I sought to create a solution to streamline this cumbersome process. Monitoring document locations, custodians, and pending actions typically relied on manual logbooks and frequent follow-ups, which were both time-consuming and error-prone. My goal was to develop a simple system that mirrors the actual flow of documents within the office, enhancing accountability and visibility. The system functions as an automated logbook that tracks the creation, routing, receipt, and movement of documents across various divisions. It captures who handled each document, when actions were taken, and its current location. This allows offices to monitor documents in real-time, decreasing the likelihood of lost or delayed papers while improving coordination—all without disrupting existing paper-based workflows. Our office head praised the project and expressed a desire for it to be implemented organization-wide, benefiting over 800 personnel. The most rewarding moment for me during this journey was when I realized that the platform could bring my vision to life effortlessly. As someone without a technical background, this experience has empowered me to demonstrate my capabilities in our office, marking my first project since stepping into the role of head of the IT office within our department.
